How to Choose the Right Member Management Software for a Martial Arts School

Most buying guides for martial arts software, including several written by companies in this comparison, open with a feature list, and belt tracking is item one. That list will not help you choose, because almost everyone has those features.

Three things actually separate these platforms, and only one of them appears on a feature list:

  1. What your total monthly cost is once card processing is counted. For most schools, this is the larger number, and seven of the nine platforms surveyed do not publish it.
  2. What is gated behind a higher tier, which is where the price you were quoted stops being the price you pay.
  3. What breaks when your front desk skips a step, which no vendor advertises and every owner discovers in month three.

Stop shortlisting on belt tracking

Nine platforms were surveyed on 14 August 2026: Monstro X, MyStudio, Mindbody, Kicksite, Spark Membership, Zen Planner, PushPress, Gymdesk and Wodify. Six of them market belt or rank tracking on their public pages. It is table stakes in this vertical. Ranking your shortlist by whether a platform "supports belts" eliminates nobody.

Where they differ is in what the rank system does on its own. MyStudio markets an advanced rank promotion centre with automations from its Growth tier upward; on published documentation, that appears to go further than what we document for Monstro X. If automated promotion workflows are the thing you actually want, look there and make us prove otherwise.

The useful question is not does it track belts. It is what has to be true for the rank system to work at all, which is the next section but one.


The number that decides your bill, and why you probably can't find it

Software pricing for a martial arts school has two lines. The subscription, which every vendor advertises. And the card processing fee, which most do not.

For a school of any size, processing is usually the bigger line.

Take a school billing $18,000 a month on cards. At a 2.9% + $0.30 rate across roughly 200 transactions, processing costs about $582 a month. At 4.9% + $0.30, it costs about $942. That $360 gap is larger than most of the subscriptions in this comparison.

The free-tier trap, using our own pricing

Our Free tier costs $0 and charges 4.9% + $0.30. Our Basic tier costs $159 and charges 2.9% + $0.30. The 2% difference means Basic becomes the cheaper plan at roughly $7,950 a month in card volume: below that, Free wins; above it Free is the more expensive plan despite the $0 headline.


Flat pricing versus per-member pricing

The nine platforms split into two models, and the split matters more as you grow.

Per-member or per-student: Kicksite (four bands by student count, $49 to $199), Gymdesk (five bands by member count, $75 to $200), Zen Planner (tiered by active member count, from $99).

Flat, feature-tiered: Monstro X ($0 / $159 / $299), PushPress ($0 / $159 / $229), MyStudio ($79 to $439), Wodify (per location).

At small scale the per-member platforms are hard to beat. Gymdesk starts at $75 for up to 50 members and includes a website at every tier with no feature gating: for a school of 40 students, that is a genuinely strong offer and we would not pretend otherwise.

At larger scale the picture is more mixed than flat-pricing vendors usually admit. On published prices at 300 students: Kicksite is $199, Gymdesk is $200, and Monstro X is $299, because 300 students puts you on our Growth tier. On subscription alone, we are $100 a month more expensive than both.

Whether we are more expensive overall depends entirely on the processing rate, which neither of them publishes. That is not us winning the argument. That is the argument being unfinishable with public information, and you should make them finish it in the demo.


The tier trap: what is gated where

The advertised price is for the advertised tier.

The feature you are buying for may not be in it.

Our own most-misread example: Staff Management is Growth-only on Monstro X. If you have instructors who need their own logins with restricted permissions, that is $299, not $159, regardless of your student count.

Merchandise, events, digital courses, the marketing suites and the AI assistant all require Basic or above. Only membership management, point of sale, class management, attendance, gamification, leaderboards, referrals, analytics, community and the member app are on every tier including Free.

Elsewhere in the comparison: MyStudio puts SMS behind an add-on until its $439 tier and Zapier/API access behind Growth. Zen Planner prices its website as a $99/month add-on and its Engage module at $249/month on top of the subscription. Wodify and Spark Membership both advertise promotional rates, $99, that revert to $199; Wodify's offer was time-limited to 31 August 2026.

Two platforms explicitly do not gate: Kicksite gives all features at every tier and varies only by student count, and Gymdesk does the same and markets itself on exactly that: "no upsells, no surprise tier jumps." If tier anxiety is what you are trying to avoid, those two are answering your question directly.

What to do with this: write down the five features you are actually buying for. Then find, on the pricing page, which tier each one is in. Total that tier, not the advertised one.


Ask what breaks when your front desk skips a step

This is the question no feature list answers and no vendor volunteers.

Most of what makes these platforms feel modern, including points, achievements, leaderboards, rank progress, and attendance risk flags, is built on one input: someone recording that a student showed up.

For Monstro-X specifically, check-in runs through a browser station and requires two conditions: that the member exists and that a session is scheduled today. If nobody runs the check-in station, the gamification you spent an evening configuring is fully set up and completely inert. Not degraded. Inert.

We are telling you this about our own product because it is the single most common reason an owner concludes the engagement features "don't work."

Ask every vendor on your shortlist: which features stop producing anything if my front desk skips a step, and what is that step? The answer tells you what you are actually committing your staff to, which is a bigger decision than the software.

Migration, and what does not come with you

If you already run a school on other software, the switch is the risk, not the software.

Ask every vendor whether stored payment methods transfer, and if not, what their plan is for the re-entry window. This applies to any migration, not just ours.


What nobody in this comparison publishes

No platform in the nine publishes a support SLA or response time. Not one, including us. If support responsiveness matters to you, and for a single-location school where the owner is also the front desk it usually does, you will have to get that commitment in writing during the sales conversation, because it is not on anyone's website.


The shortlist questions

Take these to every demo:

  1. What is your card processing rate, and your ACH rate? (Seven of nine do not publish it.)
  2. Which tier are each of my five must-have features in? Total that tier.
  3. Is pricing flat or by member count, and what happens to my bill at 150 students? At 300?
  4. Which features stop working if my front desk skips a step?
  5. Do stored payment methods transfer when I migrate? If not, what is the plan?
  6. What is your support response commitment, in writing?
  7. Show me your help centre article for the task I will do most often.

Notice that only question three is about features.


Where Monstro X fits, and where it does not

Consider us if: you want the engagement stack: points, achievements, redeemable rewards and leaderboards as one connected system. Of the nine platforms surveyed in August 2026, eight did not market that combination as a single capability. That is a statement about what nine companies advertise, not a claim that nobody else has built it, and it is the version of that sentence we can defend.

Look elsewhere if: you are under 50 students and want a website included, in which case Gymdesk at $75 is hard to argue with. If rank promotion automation is your core requirement, MyStudio documents more of it than we do. If marketing funnels and automated follow-up are the job, Spark Membership is a marketing platform with school features attached, and we are behind them there. If most of your families pay by bank transfer, PushPress publishes an ACH rate we do not match.

One more thing about us. Our own marketing says Monstro X delivers +34% member retention. It does not say over what period, measured against what baseline, or across how many schools. We are leaving that number here rather than quietly removing it, because the standard this guide asks you to apply to nine companies has to apply to the tenth line on our own homepage too.
